How We Price.
No Surprises.
Every project is scoped individually and quoted at a fixed price. No hourly billing, no estimates that drift during delivery. This page explains what drives the investment — so you come to the conversation informed.
What Actually Determines the Price
No catalogue, no packages — these are the five factors that move the number most.
Clean, uniform inputs (standard PDF forms, consistent spreadsheets) cost less to process than messy ones (mixed layouts, handwriting, low-quality scans).
Biggest cost leverConnecting to one modern, well-documented system is fast. A legacy ERP with no easy integration, or five separate databases, adds real complexity and time.
High impact500 invoices a month and 50,000 invoices a month require different infrastructure — handling that much higher volume reliably adds to scope.
Medium impactHealthcare data, financial records, and ISO-regulated processes carry extra rules — GDPR, audit trails, SOX controls — which add validation, logging, and documentation work.
High when applicableA behind-the-scenes system that drops results into your existing tools costs less than a full dashboard with logins, roles, and live status views.
Optional add-onWhat We Build
Five core services, each scoped and quoted individually. Full detail lives on the services page.
Pipelines that ingest documents from any source, extract structured data, validate against your rules, and route to your ERP, CRM, or database — no human in the loop for standard cases.

Milestone-based payments mean you only pay for work delivered. No upfront full payment. No invoices that arrive before results do.
Paid when the project contract is signed. Covers environment setup, access provisioning, initial data audit, and full technical scoping. We don't start without clarity.
Paid when the working core system is delivered for review and testing. You can see it running on real (or representative) data before the final 30% is due.
Paid on go-live. Includes full source code, documentation, deployment configuration, and 30 days of post-launch support. Everything you need to run it without us.
What Is Manual Processing Actually Costing You?
Most teams underestimate what they're spending on manual work. Put in your numbers and see.
All three numbers describe your existing process, not the automation. Today’s cost minus the savings is what you’d still spend once it’s live.

Questions About Pricing
Is the fixed price really fixed?
Yes. Once we scope the project and you sign off on the spec, the price is set. We've built our process around scoping carefully upfront so we don't get surprised mid-build. If you want to add something meaningful that wasn't in scope, we'll write a clear change order with a number — no work starts without agreement.
What's included in the 30 days of post-launch support?
Bug fixes, performance tuning, prompt refinements, answering questions from your team, and help resolving any integration issues that surface with real production data. It covers things that break or behave unexpectedly — not scope additions. After 30 days, we can set up a lighter ongoing arrangement if you want it.
Do you offer retainers or ongoing maintenance?
Yes, for clients who want it. After delivery, we can set up a monthly retainer for model updates, monitoring, performance reviews, and new feature iterations at an agreed rate. Most clients either run the system independently or bring us back project-by-project — both work fine.
